Position Overview:

The Executive Assistant is responsible for interacting with and improving the day to day operations for employees, candidates, and guests, with a focus on supporting the Chief Executive Officer and the Chief Operating Officer. We’re looking for someone who is energetic and self-starter with a track record of high performance and who is genuinely excited about improving the way people work. We are a start-up company so experience in a flexible, yet fast-paced environment is a must! We’ll need your assistance with everyday tasks like greeting visitors, event planning and a variety of other organizational related tasks. This exciting opportunity will require superior attention to detail, solid organization skills and the ability to meet tight deadlines while juggling multiple critical requests. Therefore, you must be a team player who is excited to learn and willing to help wherever needed.


  • Assist with organizing and executing team activities (board meetings, off-site and team events)
  • Coordinate and manage detailed travel arrangements, hotel reservations for the President & COO; complete and file expense reports for all C-Suite
  • Under minimal supervision, create PowerPoint presentations of both routine and advanced nature, for reports, correspondence and meetings
  • Serve as point of contact for all incoming visitors and communications from employees, clients, vendors, and partners
  • Organizes and prioritizes large volumes of mail, information, phone calls and emails. Drafts written responses or replies by phone or e-mail. Facilitates executives’ responses by researching and compiling background information related to matters at hand
  • Works both independently and within a team on special projects for nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the President & COO, which may include planning and coordinating multiple presentations, disseminating information and coordinating meetings.
  • Owner of office support and management, as well as planning & implementing culture and engagement activities in conjunction with the senior management team and HR Department.

Experience and Skills:


  • Bachelor’s degree from a credited university (extensive experience may be considered in lieu of this requirement
  • 2-4 years of experience as an Executive Assistant in Healthcare or related field
  • 2+ years of direct experience supporting C level executive(s)
  • 2+years of strong organizational skills with high attention to detail and outstanding time management
  • Strong business acumen and knowledge, able to work in a fast-paced, aggressive business environment.
